ChatGPT can help teams draft, research, analyze files, create presentations, write code, and automate routine work. The difficult part is not adoption. It is deciding where the tool may act, what data it may see, and how output will be reviewed.
A workplace plan without governance creates shadow AI: employees use personal accounts, upload sensitive material, and invent their own standards.
Personal account or managed workspace?

Define the source of truth
ChatGPT should not become the only place where work exists.
Keep final records in approved systems: CRM, document management, Git, accounting, ticketing, or knowledge base. ChatGPT can work from a controlled copy and return a draft.
For Projects, GPTs, Work, and connectors, identify the authoritative source and remove outdated versions. Require citations for internal-policy answers.
Measure the whole workflow
Message volume is not productivity.
Measure:
- Time to first draft.
- Human correction time.
- Error rate.
- Source quality.
- Rework and incident rate.
- Employee satisfaction.
- Cost per successful outcome.
- Accessibility impact.
- Whether work was shifted rather than eliminated.
A fast output that requires extensive repair may be negative productivity.
Administration and access
Organizations should define:
- Who can invite users.
- Workspace roles.
- SSO and lifecycle management.
- Whether personal workspaces may be merged.
- Approved apps and MCP servers.
- GPT publishing rules.
- Retention and export.
- Logging and incident response.
- Rules for Scheduled Tasks and agents.
Merging a personal workspace into a Business workspace can be irreversible. Users should understand what moves and who then controls the data.
Human approval is a system feature
Do not rely on employees remembering to review everything. Put approval into the workflow.

When this is the wrong tool
ChatGPT is the wrong tool for final decisions about employment, credit, housing, insurance, medical care, legal rights, or other material outcomes without appropriate human and legal controls.
It is also wrong when the organization cannot identify an owner for security, data, evaluation, and incident response.
Buying seats is easy. Building a responsible operating model is the real implementation.
